Position Summary
The Administrative & Client Services Coordinator serves as the primary point of contact for clients, visitors, volunteers, interns, and community partners at Su Casa Hispanic Center. Reporting directly to the Director, this position is responsible for coordinating front-office operations, supporting client access to services, maintaining effective administrative systems, and fostering a welcoming and culturally responsive environment.
The Coordinator collaborates with staff across all Su Casa programs to promote service excellence, operational efficiency, and continuous quality improvement. This role helps support client navigation, intake processes, volunteer and intern engagement, customer satisfaction initiatives, and office operations. Success in this position is defined by exceptional client experience, effective administrative coordination, strong operational support, and a commitment to continuous improvement and organizational accountability.
Essential Job Functions:
Client Experience and Office Operations
- Serve as the primary point of contact for clients, visitors, volunteers, interns, and community partners seeking services through Su Casa.
- Provide exceptional customer service and create a welcoming environment that reflects the mission and values of Catholic Charities.
- Coordinate front-office operations, reception coverage, scheduling, and client flow to ensure efficient and responsive service delivery.
- Assist clients in accessing appropriate services, resources, and referrals within Su Casa and Catholic Charities.
- Maintain accurate client records, administrative files, and office documentation.
- Support daily office operations, including scheduling, supply management, mail processing, and general administrative coordination.
Intake, Client Access, and Service Navigation
- Support implementation and refinement of client intake and service navigation processes.
- Assist with gathering client information and required documentation to facilitate service delivery.
- Collaborate with program staff to improve client access and coordination across programs.
- Identify barriers to service access and recommend improvements that enhance the client experience.
- Support development of systems that promote efficient referrals and service coordination.
Volunteer and Intern Engagement
- Coordinate recruitment, scheduling, onboarding, and recognition activities for volunteers supporting Su Casa operations and programs.
- Assist in training volunteers on customer service expectations, office procedures, and program support activities.
- Support orientation and integration of interns into Su Casa operations.
- Collaborate with staff to provide meaningful service and learning opportunities for volunteers and interns.
- Monitor volunteer and intern participation and support positive engagement experiences.
Customer Satisfaction and Continuous Quality Improvement
- Coordinate collection of client satisfaction surveys and other client feedback opportunities.
- Monitor client feedback trends and share recommendations with leadership for service improvements.
- Support departmental quality improvement initiatives and implementation of best practices.
- Assist with tracking operational data, client access trends, and service metrics.
- Participate in efforts to improve efficiency, client outcomes, and organizational effectiveness.
- Coordinate collection of client satisfaction surveys and other client feedback opportunities.
Safety, Facility Coordination, and Risk Awareness
- Serve as Su Casa’s primary administrative support liaison for site safety, facility concerns, and emergency preparedness activities.
- Coordinate with agency leadership and designated safety personnel regarding implementation of safety procedures and protocols.
- Support emergency preparedness efforts, facility readiness, and incident reporting processes.
- Assist in maintaining a safe, welcoming, and accessible environment for clients, staff, volunteers, and visitors.
- Communicate operational risks, facility concerns, and safety issues to appropriate leadership
Collaboration and Organizational Support
- Coordinate collection of client satisfaction surveys and other client feedback opportunities.
- Collaborate with Su Casa staff and Catholic Charities departments to ensure effective communication and service delivery.
- Participate in departmental meetings, planning activities, and operational improvement discussions.
- Support community events, outreach activities, distributions, workshops, and other departmental initiatives.
- Contribute to a culture of accountability, teamwork, inclusion, and continuous improvement.
- Other duties, as assigned.
Required Qualifications and Skills:
- Associate degree or equivalent combination of education and experience.
- Minimum of two years of experience in administrative support, customer service, nonprofit operations, community engagement, or related fields.
- Fluency in written and spoken English and Spanish.
- Demonstrated commitment to serving diverse populations with cultural humility and respect.
- Strong organizational skills and attention to detail.
- Excellent interpersonal, communication, and problem-solving skills.
- Ability to manage multiple priorities and responsibilities in a fast-paced environment.
- Experience coordinating projects, volunteers, interns, or customer service functions.
- Commitment to continuous quality improvement and accountability toward results.
- Highly proficient in Microsoft Office, including Outlook, Word, Excel, Teams, and related technology platforms.
Preferred Qualifications and Skills:
- Bachelor’s degree in Business Administration, Human Services, Social Services, Nonprofit Management, or related field.
- Experience working with immigrant and refugee populations.
- Experience with client management databases, Salesforce, or similar systems.
- Experience collecting and analyzing customer feedback or service satisfaction data.
- Experience supporting quality improvement, operational systems, or process development initiatives.
- Knowledge of local community resources available to immigrant and refugee families.
Supervisory Responsibilities:
- Direct reports: None
- Provides coordination, guidance, scheduling support, training, and oversight of volunteers and interns assigned to front-office and operational functions.
- Approximate volunteer and intern support: Varies based on departmental needs.
Organizational Responsibility:
Employees of Catholic Charities Southwestern Ohio will have knowledge of the Catholic faith, a willingness to work for a Catholic, faith-based agency and adhere to the policies of Catholic Charities. Work Environment:
Typical office environment, with minimal exposure to excessive noise or adverse environmental issues. Occasional evening and weekend work, especially for special events like the MARCC ID, Las Posadas, Health Fairs, Community Outreach, etc.
